The type of personal information we collect

We currently collect the following information:

  • Names and e-mail addresses of Supporters, Members and people making e-mail enquiries, 
  • The name of any organisation that an individual represents,
  • Any other personal details that an individual knowingly provides us with, such as their address, telephone number etc.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one or both of the following reasons:

  • to sign up to receive our Newsletter and to receive information about local and other environmental issues,
  • for communication between you and Planet Wimborne

We will use your personal information to:

  • fulfil your requests, for example; applications to join our mailing list and become a Supporter, to become a Member, to ask for information, to make donations.
  • provide information which we think may be of interest to you, including the newsletter, 
  • administer Supporter and Membership lists,
  • process events bookings,
  • carry out surveys,
  • communicate with our Supporters and Members about the activities and governance of Planet Wimborne. 

We share this information with third party service providers which we use to store your details and manage our mailing list.  When you contact us by e-mail with an enquiry that we think that one of our associated organisations (such as the Wimborne Repair Café) can answer better than us, we may share your e-mail with the other organisation so that they can reply to you.  We do not share your information with any other body.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

a)    Your consent. You are able to remove your consent at any time. You can do this by contacting Planet Wimborne by e-mail planetwimborne@gmail.com
b)    Our legitimate interest.  This basis applies when you make an enquiry to us and we use your personal information in order to respond.  This would be in line with your reasonable expectations and our legitimate interest in bringing together local environmental initiatives, networking and promoting ecologically sustainable lifestyles.

How we store your personal information

Your information is securely stored on the password protected Planet Wimborne Google account.  It is accessed by a limited* number of the Planet Wimborne Steering Group, using password protected devices.  Your information may first have been written on paper, and this paper is kept securely and destroyed as soon as the information has been transferred to the Planet Wimborne Google account.  

We store names, e-mail addresses and any details you have given us about an organisation you represent, until 

  • you tell us you wish to unsubscribe, or
  • you withdraw consent for us to use your information, or
  • you stop being a Supporter or
  • we think you no longer wish to continue to hear from us.  

We will then dispose of your information by deleting it from the Planet Wimborne Google account.

*  However, if you are a Member of the Steering Group, your personal information will be made accessible to all other Members of the Steering Group.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to withdraw consent to processing - You have the the right to withdraw consent to the processing of your personal information at any time.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. This right does not apply if our processing of your personal information was done solely under the legal basis of legitimate interest.  For example; keeping your e-mail address in order to respond to your e-mail enquiry.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How to complain
